Privacy Policy

This policy explains what personal data Protos Systems processes through this website, why we process it, who may receive it, and the rights and choices available to you.

Protos Systems, based in Durrës, Albania, is the controller of the personal data described in this policy unless stated otherwise. Questions and privacy requests may be sent to info@protossystems.io.

Information we collect

When you send a project enquiry, we collect the information you provide: your name, email address, telephone number, selected service, message, and any company details you choose to add. We also generate a submission identifier and record delivery and handling status so we can manage and respond to the enquiry.

Our hosting and security systems may process technical data such as your IP address, browser and device information, requested pages, referring page, and request timestamps. For contact-form rate limiting, a network address and email address may be converted into keyed cryptographic digests used to detect repeated requests.

We use a small functional cookie to remember your selected website language. If optional analytics are enabled after consent, the additional information described in the analytics section is also processed. We do not ask for sensitive personal data through this website; please do not send it unless necessary and we have agreed on an appropriate way to handle it.

How and why we use information

We process personal data to receive and reply to enquiries, prepare or provide requested services, deliver enquiry notifications, operate and secure the website, prevent abuse, maintain business records, comply with legal obligations, and establish or defend legal claims.

Depending on the circumstances, the legal basis is taking steps at your request or performing a contract, complying with a legal obligation, your consent, or our legitimate interests in communicating with prospective clients, running a secure website, preventing misuse, and managing our business. Optional analytics rely on consent where consent is required.

Cookies and external content

The website uses a functional cookie to remember your language. Google Analytics and Microsoft Clarity load only after you choose Allow analytics in the cookie control. If you make no choice or reject analytics, both remain disabled. We do not grant advertising storage.

The interactive map on our About page loads map tiles from OpenStreetMap. When it loads, your browser connects to OpenStreetMap infrastructure and may share technical information such as your IP address and browser details. OpenStreetMap handles that information under its own privacy practices.

Google Analytics and Microsoft Clarity

Google Analytics, provided by Google, and Microsoft Clarity, provided by Microsoft, are available to measure website use and improve content, navigation, campaigns, usability, and technical performance. Both load only after a visitor explicitly allows analytics.

When enabled with consent, Google Analytics may process pseudonymous client and session identifiers, page URLs and titles, referring pages, approximate location, campaign information, browser, device, language, screen information, and events such as page views and engagement. Microsoft Clarity may process similar technical and session information together with clicks, pointer movement, scrolling, and navigation to create heatmaps and reconstructed session replays.

We use analytics information in aggregate to understand traffic and campaign performance, identify usability or technical problems, and improve the website. We configure analytics to avoid intentionally collecting names, email addresses, telephone numbers, or form contents, and we do not intentionally send those details to Google or Microsoft. Clarity replays are reconstructions of page content and interactions rather than video captured from your device.

Google and Microsoft may process analytics data outside Albania or the country where you live. Where required, we rely on applicable contractual and transfer safeguards. Our intended Google Analytics setting retains user- and event-level data for no more than 14 months. Microsoft states that standard playback data is retained for 30 days and click and heatmap data for 13 months; labeled, favorited, or sampled recordings may be retained longer under Microsoft’s current rules. Provider practices may change, and aggregated or de-identified reports may be retained for longer.

Optional analytics depend on your consent. You may refuse them without losing access to the website and may change your choice at any time through Cookie choices in the footer. Withdrawing consent stops future collection but does not affect processing that already occurred lawfully.

When we share information

We do not sell personal data. We may disclose it to providers that support website hosting, database storage, security, email delivery, maintenance, and—only when activated as described above—Google Analytics and Microsoft Clarity. We may also disclose information to professional advisers, parties involved in a business reorganization, or public authorities where legally required.

Some providers may process information outside Albania or the country where you live. Where required, we use an applicable legal transfer mechanism and appropriate safeguards.

How long we keep information

We retain personal data only for as long as reasonably necessary for the purpose for which it was collected and for applicable contractual, tax, accounting, security, dispute, and legal requirements. Enquiries are reviewed and deleted or anonymised when they are no longer needed; records connected with a client relationship may be retained for the life of that relationship and the applicable legal period afterward.

Security and request records are retained according to operational need and hosting settings. Analytics retention is described in the analytics section above.

Security

We use reasonable technical and organisational measures designed to protect personal information. No internet service is completely secure, so we cannot guarantee absolute security. Contact us if you believe information you shared with us has been compromised.

Your rights

Depending on the law that applies to you, you may have the right to access, correct, delete, restrict, object to, or receive a portable copy of certain personal information. You may withdraw consent at any time where processing relies on consent.

To exercise a right, email info@protossystems.io. We may need to verify your identity and may retain limited information needed to document the request. You may also complain to Albania’s Commissioner for the Right to Information and Protection of Personal Data or, where applicable, the data-protection authority where you live or work.

Children

This website and our services are intended for businesses and are not directed to children. We do not knowingly collect personal information from children through this website.

We do not use website data to make decisions that produce legal or similarly significant effects through solely automated processing.
